Verde Group New Zealand's Oracle NetSuite specialist Project Salsa division has delivered an API-driven integration with popular veterinary practice management software EzyVet, replacing Xero with NetSuite financials. The result is improved reporting and visibility for a veterinary group across key metrics including cost of goods sold and inventory control, while eliminating manual data entry tasks.

Project Salsa’s National Sales Manager Wayne Potgieter says the development is positive news for any vet practice running into limitations using popular existing software combinations. “Xero is an outstanding accounting package, but as some businesses start reaching scale, limitations become apparent,” he notes.

Potgieter stresses that this is not a criticism of Xero, pointing out that Rod Drury himself has explicitly confirmed that Xero is not an Enterprise Resource Planning solution, and that Xero itself uses NetSuite for its own back end.

“With a very large number of transactions, speed and performance is affected in Xero, and rapid, detailed reporting is not generally available.”

While practice management software EzyVet offers invoicing, larger veterinary groups have found limitations with analysing the cost of goods sold and inventory management. This includes the absence of Units of Measure in EzyVet, which makes tracking of quantities difficult, and limits the ability to analyse margins and determine profitability for various procedures and treatments.

Manual work included entering supplier invoices into both Xero and EzyVet, effectively duplicating effort.

“These issues are directly addressed in NetSuite Financials, supported by NetSuite’s Advanced Inventory and Smart Count modules – all of which are now integrated with EzyVet. This gives our client the practice management functionality they love in EzyVet, with the detailed financial reporting they want from their financial management software.”

In this particular integration, Potgieter says the client recognised a need for improved reporting. “Poor stock control and a lack of true visibility around performance across the organisation was a major issue. But there are additional challenges being experienced with EzyVet, as we’ve noted for another client struggling with calculating and reporting accurate cost of sales and therefore product profitability.

He explains that the sale of bundled products – like veterinary surgery, which includes vet time, anaesthesia and various consumables – compounds the issue, with no way of seeing the true cost of the full service delivered, or the exact quantities of products used.

With this integration successfully delivered, Potgieter says Project Salsa is engaging with other veterinary practice groups around New Zealand. “NetSuite is a particularly suitable financial system for medium and larger organisations as it is in effect a fully-fledged Enterprise Resource Planning system. That means it has the capability to grow alongside the ambitions of any local veterinary group and is ideal for those reaching the limitations of accounting software packages,” he comments.

The solution isn’t suitable for individual practices, he adds, where Xero or other accounting software is likely to be quite adequate. “Typical delivery of an integration of this nature is around two to three months,” Potgieter points out.

“However, with improved visibility on key financial metrics, the outcome is improved practice management with accurate inventory management and margin visibility. And finance people are relieved of onerous data entry ‘busywork’ so they can focus on more important things,” he concludes.
